What is Certrak?
Certrak is a secure, cloud-based online platform offering a range of features designed to help real estate agents and teams in Australia and New Zealand manage qualifications, compulsory training and other business-related documents.
Who is Certrak for?
Certrak is for any individual or company that manages a team holding real estate qualifications in Australia and New Zealand. Examples of companies who can benefit from Certrak include residential, commercial, stock and station, and strata agencies, franchise networks, real estate networks, professional organisations, recruitment agencies, training organisations, and more.
How can Certrak help me?
Certrak is designed to help real estate industry professionals in Australia and New Zealand in managing qualifications and CPD.

From storing qualifications and CPD evidence, receiving notifications and action required lists, to collaborating with a team and printing qualification and training evidence on-demand for audits - we've got it covered.
Why do I need Certrak?
Regulatory authorities in many regions conduct unscheduled audits of real estate businesses to check that all agents have the correct qualifications, up-to-date CPD, and CPD evidence. Fines and penalties can apply, not just to the agent but also to the business owner.

Certrak is designed to help your business by making sure everyone on the team knows exactly what they need to do, has the necessary evidence, and is up-to-date with their qualifications and CPD - while our dashboards and collaboration let business-owners know the current status of everyone on their team.
What kind of notifications will I get from Certrak?
Certrak gives you a combination of web-based, email, and SMS notifications for qualification renewal reminders, web-based and email notifications for other reminders, and a personalised action required list within your account.

For team account holders you will also get these reminders for your linked team members, just in case they need a helping hand to take action!
What relevant experience does your company have?
Certrak's founders have over 20 years combined experience in various roles in the Australian real estate industry - this includes working in residential offices, franchise head offices, real estate training providers, as well as delivering technology and working with real estate sales data. We're in constant contact with a large network of agents, and have designed Certrak to be the best possible tool to manage qualifications and CPD for individuals or teams.

Data and Security FAQ

What kind of information can I store in Certrak?
Certrak is designed to store real estate qualifications, training certificates, and other business documentation along with associated information. Files can be uploaded in the form of images or PDF files.
Who can see or edit the data I enter into Certrak?
That depends on your privacy settings. If you pay for your own Certrak account, you have the ability to set your own privacy settings over who can view or edit your data. If you have multiple plans, or your plan is an All Regions plan, you can set different privacy settings for each plan or region.
What are your policies and procedures regarding data storage?
Certrak's storage is specifically intended for real estate qualifications, certificates and other relevant real estate business documentation. Use of Certrak's storage for any other purpose is regarded as a violation of our End User Licence Agreement.
Can I back-up my Certrak account?
Yes, you can save back-ups of your entire Certrak account to Dropbox, Google Drive, or your personal device and restore at a later time. You can do this periodically for your own security and peace of mind, and use it to restore your Certrak account at any time.

This is perfect if you are taking a break from the industry (eg. travel, maternity leave) and would like to pause your Certrak subscription before resuming at a later date.
Can I export my data from Certrak?
Of course! You can export any records you upload to Certrak, as well as any reports you create. You can also export all your certificates in a single file - perfect in the case of an unexpected audit!
How secure is my data?
Certrak takes data security seriously and uses industry best practices to keep your data safe.
How can I ensure I don't lose access to my Certrak account?
We give you the ability to add a back-up phone number and back-up email address. You can also link your Certrak account with your LinkedIn account.

This way, even if you lose access to your work phone or work email address, you can still get access to your Certrak account.
How much data can I store in my Certrak account
Our plans allocate sufficient storage for each user to store many dozens of records including certificates and associated data, when used in accordance with our End User Licence Agreement.

In the unlikely event that an individual user reaches their data storage limit, they will have the opportunity to double their storage capacity for an extra $2 AUD per month.

Teams FAQ

How Certrak work for teams?
When you invite your team, you can either pay for your team's account or you can invite them to pay for their own account.

If you are paying for your team's accounts then you will always be able to view their records for the selected plan. Your team members will have the option to choose whether they allow you to view-only or view and edit their records.

If you invite your team to pay for their own accounts, then they will have full control over their own privacy settings which may include not giving you access to view their records.

Each team member will have their own personalised action required list depending on their qualification.

You will have a team dashboard showing the qualification and CPD status of all your linked team members, as well as any action required list for the entire team.
How can teams allocate billing?
You can either pay for your team's account or you can invite them to pay for their own account. If you are paying for your team's accounts then you will always be able to view their records for the selected plan. You team members will have the option to choose whether they allow you to view-only or view and edit their records.

If you invite your team to pay for their own accounts, then they will have full control over their own privacy settings which may include not giving you access to view their records.

Can my assistant or office manager help me manage my Certrak account?
Yes! Certrak gives you the ability to appoint a Team Administrator to every team. A Team Administrator will have the ability to view, edit, or create records within their team account. This is a responsible role and should only be allocated to those you trust.

To keep your data safe we make it easy for you to save back-ups of your Certrak account using Dropbox, Google Drive, or your own device.
How do I manage multiple teams?
As a team account owner you will have access to a team administration area where you can create or edit teams, invite or remove team members, edit plans, and more.
Can teams have different plans?
Teams are a way for you to group your team members according to their qualification requirements. This means that if your company is paying for your team then all your team members will be on the same plan.

If your team members are paying for their own account, they are free to choose their own plan as well as having full control over their own privacy settings. For more information, see Plan FAQ

Plans and Billing FAQ

What are your fees and how are they charged?
Certrak uses a per-user, per-month or per-year pricing model so we can provide an always-on service that is backed-up, secure, and accessible any time from any device.

We have 3 plan types which are priced according to how complex our customer needs are:

- Regions without CPD
- Regions with CPD
- All regions (for agents who hold qualifications in multiple states or territories)

We want to make Certrak affordable for every agent. For around the cost of a cup of coffee per month you can get all the benefits of Certrak.

What kinds of payment do you accept?
We accept all major debit and credit cards.
How do I pay?
Once your free trial expires you can choose a plan and pay from within the Certrak application.
Can I get a tax invoice?
Of course! Certrak is an Australian-registered company with an ABN. You can download all your tax invoices from within the Certrak web application.
How do I know my payments are safe and secure?
We take payment security seriously. Certrak uses Stripe as our payment processor. Stripe is a PCI Service Provider Level 1 which is the highest grade of payment processing security.
Do your prices include GST?
Yes our prices are inclusive of GST for Australian customers. The listed price is what you'll pay.
Can I cancel or change my plan if my requirements change?
Yes, you can change or cancel your plan at any time. 
When are payments deducted from my card?
Payments are made on the monthly or annual anniversary of the date you signed up for your plan, depend on whether you chose to pay monthly or annually.
If I want to immediately upgrade my plan, how much extra do I pay?
It's important to us that our billing is fair and transparent. If you upgrade to a more expensive plan, the only additional amount you will pay is the difference in price between your old and new plans for the period remaining on your subscription.

For example, let's say:

You paid for a 12 month subscription of a $6 per month plan. So you have paid $72.

When you have 6 months remaining on your subscription, you decide you want to upgrade to an $8 per month plan.

You would only be billed the extra $2 per month (that is the price difference between your old plan and your new plan) for the remaining 6 months of your subscription. So in this case you would be billed an extra $12 to upgrade your plan. 

After the 6 months, when your plan renewed, it would renew onto the $8 per month plan for the following 12 months.

Our billing is also pro-rated if you switch from annual to monthly billing.
